Spotlight Live 2025 Event Registration Terms and Conditions
Last Modified: January 15, 2025
We’re so glad you’ll be joining us for HubSpot’s Spotlight Live 2025. For complete details on the terms that apply to registration and other important information, please read below.
REGISTRATION
There is no cost to register for the event but completing a registration form is required to attend.
Invitees will receive an invitation code from a HubSpot representative that should be entered into the registration form. Codes are good for up to two individual uses for people from the same company. Given the limited capacity, no exceptions will be made.
If you are registering for more than one pass, HubSpot may register your attendees for you using the names and email addresses you provide. You are responsible for obtaining your attendees’ permission to share their personal information with HubSpot and for Spotlight Live or our vendors to use their information as described in the ‘Privacy’ section below. You are also responsible for your attendees’ compliance with these terms and conditions. We may refuse entry or cancel registration for any attendee that does not comply.
If you’re experiencing any issues using your code or registering for the event, contact us at spotlightlive@hubspot.com.
CANCELLATION
We understand life happens. If you are no longer able to join us, please email us at spotlightlive@hubspot.com. Note, given this is an invitation only event, you are not able to transfer your pass to another person. If you would like an exception to this policy, please email us so that we may identify if a transfer is possible.
In the unlikely event that we have to reschedule or cancel Spotlight Live, or if we have to change the format to a digital-only event, we’ll notify you by a public announcement on http://www.hubspot.com/spotlight-live, by email, and/or by other methods. If the event is canceled, your registration will also be canceled. If the event is rescheduled or changed to a digital-only format and you’re no longer able or wish to attend, you may cancel your registration by emailing us at spotlightlive@hubspot.com.
Please remember that canceling your registration does not automatically cancel any hotel and travel arrangements you may have made. You are responsible for canceling your own hotel and travel reservations.
PRIVACY
Your privacy is important to us, so please read our full privacy policy here, which is incorporated into these terms by reference.
Registration data
We may share your registration data with our vendors in order to provide event information and help improve your experience at Spotlight Live or future HubSpot events. For example, if we offer a mobile app, we might make your data available to the mobile app provider so it’s accessible through the app. We may also share your registration data with providers related to Spotlight Live, like HubSpot, our registration service providers, and other vendors who work with us to make sure Spotlight Live is a great experience for you. By providing your registration data to us, you grant us permission to do these things.
What we will not do is sell, rent, or give your registration data to third parties. You also may have the option of sharing your registration information directly with other attendees. If you choose to share (or allow us to share) your information, you understand that we do not control how other attendees use your information. The important point here is that you can choose whether or not to share your information. If you believe another attendee has collected your information without your consent, please inform us immediately.
Performance metrics
We may share performance metrics such as page views, clicks, and impressions with Spotlight Live sponsors or vendors to measure the performance of our Spotlight Live website, content, and advertising. We will use this information in compliance with our privacy policy.
BEHAVIOR AND CONTENT
By registering for Spotlight Live, you agree to follow our Code of Conduct, which you can find here. Our Code of Conduct outlines the behavior we expect from everyone at Spotlight Live.
- If we (in our sole discretion) determine that you are behaving in a manner that is—or could be—disruptive to the event or other attendees, or is in violation of our Code of Conduct or these terms, then we can limit your access or ban you from the event. If we do, you aren’t entitled to any form of refund or compensation. At our discretion, we may also ban you from future events for a definite or indefinite time period.
- We encourage you to speak to event staff immediately about any individual you believe is acting in a manner that violates our Code of Conduct or these terms. You can also email spotlightlive@hubspot.com if you prefer to address an issue anonymously.
- Drones are not allowed at the event. No confetti, glitter, sparkles, rice or any other small decorative materials are allowed at the event. Hoverboards, rollerblades, roller skates, skateboards or other forms of recreational transportation devices are also not allowed at the event. This section doesn’t restrict you from using any required assistive device (like, a wheelchair, walker, or motorized scooter) if needed due to a disability or injury. Trained service animals (as determined by the Americans with Disabilities Act) are allowed, but no other animals are allowed into the venue. Please know that Spotlight Live does not provide push services for attendees and for safety reasons, requests to use other power-driven mobility devices will be reviewed on a case-by-case basis. If you need any assistance getting around the event, you can email us at spotlightlive@hubspot.com.
- Unless you have the express prior written permission of the event producer, you may not bring to the event any of the following: any photography device which is designed for, or suitable for, any commercial purpose; selfie sticks; tripods; monopods; boom arms; or any device which could be used to mount or hold a photography device, or could be used to extend a person's reach. The event producer reserves the right, in its sole discretion, to prohibit any device it believes may be used in violation of these terms, which it believes poses a safety risk, or which it believes may lessen the enjoyment of the event by others.
- Keep in mind that “suitcasing” or “outboarding” is strictly prohibited at Spotlight Live.
- The views or opinions expressed by any event attendee, speaker, or sponsor are not necessarily the views or opinions of HubSpot. All event attendees and speakers are responsible for their own content (including presentations, marketing collateral, advertising, and online web content). You are not allowed to use any content that infringes another party’s intellectual property rights, is harassing, misleading, or unlawful. You also agree that you won’t use the Spotlight Live name or HubSpot, without our written permission first.
NAME BADGES
All attendees at Spotlight Live must wear their name badge at all times while on the premises of the Glasshouse.
Onsite pickup
All attendees must pick up their name badge at Registration at the Glasshouse. Your name badge is your access to all things Spotlight Live.
To pick up your name badge, you’ll need to show a government-issued form of photo ID, like a driver’s license or passport. The name on your photo identification must match the name on your registration. If you’ve had a recent change in your name (like if you got married, for example) and your registration does not match your photo ID, please bring documentation of your name change and come see us at Registration Support.
Individuals must pick up their own name badge. This means that you can’t have a coworker or friend pick up your badge for you (and vice versa—you can’t pick up theirs for them.)
No name badge transfer or resale
All name badges associated with Spotlight Live passes are for use by the original authorized attendee and their invited attendee(s). Once received, name badges are not transferable. Likewise, all name badges or wrist bands provided to speakers, production personnel, vendors, and other guests of Spotlight Live are for use by those people only and are not transferable. Name badges obtained from unauthorized sources may be counterfeit and will not grant you access to Spotlight Live.
Name badges may not be sold, transferred, or used for any form of commercial or trade purposes, including but not limited to promotions, contests, commercial or advertising purposes, housing, hotels, vacation rentals, sweepstakes, charitable giveaways, or other activities without our prior written consent. No sponsorship, on-site marketing, sampling, vending, coupon/product distribution, or other promotional activity may be conducted at Spotlight Live (inclusive of parking lots), without our prior written approval in each instance. Any name badge used in violation of this provision shall be deemed revoked, and void, and their bearers deemed trespassers at Spotlight Live.
Sale or attempted sale of name badges is grounds for termination of your registration under this agreement and cancellation of the name badge.
AGE LIMITATIONS
The age guidance for attending Spotlight Live is 18+.
You have to be at least 21 years of age to drink alcohol, and you’ll show us a Government issued ID if we ask. Of course, all drinking should be done responsibly. No outside alcoholic beverages of any kind will be permitted into the Building.
PHOTOGRAPHY, VIDEO, AND AUDIO RECORDING
Unless we notify you otherwise, then you’re permitted to take screenshots, photos, videos, or audio recordings (collectively, “recordings”) of most sessions at Spotlight Live, as long as you comply with these terms.
These recordings might include content or material that is protected by copyrights, trademarks, or other rights which we own or license. So, other than for your personal use, you are not allowed to copy, reproduce, publish, or distribute the recordings without our written permission.
We allow — and even encourage you — to disseminate the recordings through social media (like tweeting, or posting to LinkedIn), as long as the clips aren’t more than one minute in length and you are otherwise in compliance with these terms. Here are a couple of examples of what’s allowed: tweeting “#Spotlight Live2025 = the best time ever!” with a picture of you or your team attending the event, or posting a photo of Andy Pitre’s keynote address on LinkedIn. Here are a couple of examples of what’s not allowed: posting a live stream of a breakout session, and/or posting a recording on Facebook of one of our speakers after we announced that recordings aren’t allowed.
Now some important restrictions: you agree that you won’t use any recordings (1) in a way that is misleading or disparaging, (2) in a way that implies that the content of the recordings is your own, (3) for commercial purposes (this means, for example, you can’t sell them) or in a way that implies that we endorse, sponsor or approve of your business, services or products, or (4) in violation of applicable law (including but not limited to privacy laws) or in connection with an obscene, indecent, or unlawful topic or material. If we request that you discontinue the use of any recordings, you will immediately comply with our request. And, of course, if we do notify you that recordings aren’t allowed, then you agree that you won’t take any recordings.
Now about recordings, we can take: by attending Spotlight Live and related events, you consent to having your image, voice, likeness, presentation, and/or other copyrightable material recorded, including video, audio, and still photography. We reserve the right to use recordings taken at Spotlight Live and related events however we might choose to, without giving you notice or any compensation. We might use them, for example, in our press releases, marketing materials, or other publications.
SECURITY AND SAFETY
We want everyone to be safe at Spotlight Live. By attending Spotlight Live, you understand we might randomly check bags or other personal belongings, and you agree not to leave any of these unattended at any time. You also understand you may be required to pass through security scanners whenever you enter the Spotlight Live space, and agree that you won’t bring anything to Spotlight Live that could cause a safety hazard.
All security concerns should be reported to Spotlight Live staff immediately by emailing spotlightlive@hubspot.com. Our security team may take whatever measures they deem appropriate without prior notice in order to aim to ensure the safety of attendees at Spotlight Live. You must comply with the direction of our security team, as well as all applicable rules and regulations.
Attendees and their belongings may be searched upon entry into Spotlight Live, and you, your Authorized Attendees, and Authorized Recipients consent to such searches and waive any related claims that might arise against Spotlight Live, its employees, and its agents related to such searches. If you or your Authorized Attendee or Authorized Recipient elect not to consent to such searches, you or they may be denied entry into Spotlight Live.
ASSUMPTION OF RISK
You understand and agree that there are certain risks of personal or property injury, illness, and/or death associated with attending Spotlight Live, including, without limitation, risks related to the novel coronavirus SARS-CoV-2 and any resulting disease (together with any mutation, adaptation or variation thereof, “COVID-19”). You understand and agree (a) that the risk of exposure to COVID-19 and other illnesses cannot be fully eliminated and is increased by proximity to other people, (b) that an inherent and elevated risk of exposure exists in any public place or place where people are gathered, (c) that attending Spotlight Live may involve coming into close contact with other people, (d) that there is no guarantee, express or implied, that you will not be exposed, and (e) that exposure can result in being subject to quarantine requirements, illness, disability, and other short-term and long-term health effects, including death.
Despite these risks, you voluntarily assume ALL known and potential risks and danger of injury and/or death from any cause, resulting from, in connection with, or incidental to Spotlight Live, including exposure to illnesses such as COVID-19. By accepting possession or by using any name badge, you expressly assume all risks and dangers arising from or incidental to Spotlight Live, whether such risks occur before, during, or after the event, and agree that Spotlight Live, our employees, vendors, speakers, sponsors, and agents are not responsible for any such risks and dangers.
AGENDA AND LIABILITY
We might make updates to the agenda from time to time, which could include a change in speakers or the cancellation of certain sessions. We can’t promise the attendance of any speaker, entertainer, or presenter and won’t provide any compensation based on changes to the agenda. We also can’t guarantee admission to any certain session, since all sessions are subject to capacity limits and availability.
Spotlight Live is provided as-is, without warranty of any kind, express or implied. If we are determined to have any liability to you, you agree our aggregate liability will be limited in all cases to one hundred dollars (US$100).
FORWARD-LOOKING STATEMENTS
Presentations at Spotlight Live may include certain “forward-looking statements" within the meaning of the Private Securities Litigation Reform Act of 1995, including statements concerning our position to execute our growth strategy in the mid-market, and our ability to expand our leadership position and market opportunity for our inbound platform. These forward-looking statements include, but are not limited to, plans, objectives, expectations and intentions and other statements that may not be historical facts and statements identified by words such as "expects," "anticipates," "intends," "plans," "believes," "seeks," "estimates" or words of similar meaning.
These forward-looking statements reflect our current views about our plans, intentions, expectations, strategies, and prospects, which are based on the information currently available to us and on assumptions we have made. Although we believe that our plans, intentions, expectations, strategies, and prospects, as reflected in or suggested by those forward-looking statements, are reasonable, we can give no assurance that the plans, intentions, expectations, or strategies will be attained or achieved.
Furthermore, actual results may differ materially from those described in the forward-looking statements and will be affected by a variety of risks and factors that are beyond our control, including, without limitation, our history of losses; our ability to retain existing customers and add new customers; the continued growth of the market for an inbound platform; our ability to differentiate our platform from competing products and technologies; our ability to manage our growth effectively to maintain our high level of service; our ability to maintain and expand relationships with our marketing agency partners; our ability to successfully recruit and retain highly-qualified personnel; the price volatility of our common stock; and other risks set forth under the caption "Risk Factors" in our most recent Quarterly Report on Form 10-Q (or the most recent Annual Report on Form 10-K, if it’s more recent than the latest Form 10-Q), and our other SEC filings. We assume no obligation to update any forward-looking statements contained in this document as a result of new information, future events, or otherwise.
