These Terms and Conditions (the “Terms”) govern the submission of proposed speaking sessions, abstracts, and related materials (each, a “Submission”) for consideration for presentation at UNBOUND 2026 (the “Event”), organized by HubSpot (“HubSpot,” “we,” or “us”). By submitting a Submission, the individual or entity identified in the submission form (“You” “you,” or “Submitter,” which includes proposed speakers and any party submitting on their behalf) agrees to be bound by these Terms, HubSpot’s Privacy Policy, and the Event Terms. All speakers selected, will also be subject to terms outlined in a HubSpot provided speaker contract.
Eligibility and Authority: You represent and warrant that you are at least the age of majority in your jurisdiction and have full power and authority to enter into these Terms. If you submit on behalf of a speaker, you represent that you have obtained the speaker’s authorization and that the speaker agrees to these Terms. If the speaker is employed, you confirm that any employer approvals required for participation, publicity, and use of employer trademarks have been obtained or will be obtained prior to presentation.
Submission Process and Content Standards: You agree to provide complete and accurate information in the submission form, including speaker names, affiliations, bios, titles, abstracts, learning objectives, and any materials such as slides, images, code snippets, datasets, audio, or video. Submissions must not contain confidential information, trade secrets, personal data of third parties without a lawful basis, or content that is unlawful, defamatory, harassing, discriminatory, obscene, or otherwise inappropriate. Do not include regulated or sensitive data (including health, financial, or children’s data).
Selection and Program Curation: HubSpot will evaluate Submissions in its sole discretion using criteria it determines appropriate for the Event. HubSpot may request clarification, edits, or additional materials and may edit session titles, descriptions, and scheduling details for clarity, length, or consistency. Submission does not guarantee selection. HubSpot may accept, decline, waitlist, or reassign sessions, combine similar proposals, or suggest alternative formats. HubSpot’s decisions are final.
No Employment; Independent Contractor; Compensation: Selection does not create any employment, partnership, joint venture, or agency relationship with HubSpot. Unless otherwise stated in a separate written agreement with HubSpot, participation is voluntary, unpaid, and without expense reimbursement.
Intellectual Property; Ownership and License As between You and HubSpot, you retain ownership of your original content in the Submission and any presentation materials you create (collectively, “Speaker Materials”). To enable the Event and related activities, you grant HubSpot a worldwide, royalty‑free, transferable, sublicensable, irrevocable license to use, reproduce, distribute, publicly perform, publicly display, transmit, translate, adapt, edit for length or clarity, create derivative works from, and otherwise exploit the Submission and Speaker Materials in any media now known or later developed, including on Event or HubSpot websites, social media, marketing materials, archives, and future editions of the Event. This license survives indefinitely. Where permitted by law, you waive any moral rights (or agree not to assert them) to the extent necessary for HubSpot to exercise the foregoing rights.
Third‑Party Materials; Clearances: You are responsible for securing all permissions, licenses, and releases necessary for any third‑party materials included or referenced in your Submission or Speaker Materials, including images, music, videos, code, datasets, trademarks, and quotations. You will not include content that infringes, misappropriates, or violates third‑party rights. Upon request, you will provide documentation of clearances. If your presentation will include music or other performance‑licensed works, you will notify HubSpot in advance so that appropriate public performance or synchronization rights can be addressed.
Recording, Photography, and Distribution: You consent to HubSpot and its vendors recording, photographing, livestreaming, and otherwise capturing your session(s), image, likeness, voice, name, and biographical information at the Event and to the use, reproduction, editing, and distribution of such recordings and images for Event and HubSpot purposes, including on‑demand availability. HubSpot may produce derivative works, highlight reels, transcripts, and captions and may correct transcription or captioning errors.
Use of Name, Likeness, and Logos: You grant HubSpot permission to use your name, likeness, image, voice, biographical information, and professional or employer logos you provide for Event programming, schedules, websites, apps, signage, press releases, and promotional materials. If employer or third‑party approvals are required for such use, you represent that you have obtained them or will obtain them before the Event.
Compliance with Laws; Antitrust; Advertising and Endorsements: You agree to comply with all applicable laws and regulations. If your session involves discussion among competitors or industry‑wide topics, you agree to follow HubSpot’s antitrust guidelines, including avoiding discussions of prices, pricing strategies, output, market allocation, boycotts, or competitively sensitive information. If you make factual claims, you will ensure they are accurate and substantiated. If you discuss products or services with which you have a material connection (e.g., employment, sponsorship, or consideration), you will make clear and conspicuous disclosures consistent with applicable advertising and endorsement rules.
Conflicts of Interest and Sponsor Influence: You will disclose any material financial or personal interests related to the subject matter of your Submission, including sponsorships or funding. HubSpot maintains editorial independence for the Event program and may label sponsored sessions. Sponsors shall not dictate the selection of speakers or content except as disclosed and approved by HubSpot.
Privacy and Data Protection: HubSpot will process personal data provided in connection with Submissions and Event. Where required, HubSpot relies on consent, contract performance, or legitimate interests as the lawful basis for processing. HubSpot may share Submissions and personal data with service providers and partners assisting with Event operations, content production, marketing (subject to consent where required), and logistics, subject to appropriate safeguards and data processing agreements. If personal data is transferred internationally, HubSpot will implement appropriate transfer mechanisms as required by applicable law. You agree not to include unnecessary personal data in your Submission and to avoid sensitive or regulated data unless expressly requested.
Accessibility and Accommodations: HubSpot seeks to make the Event accessible. If selected, you agree to follow HubSpot’s accessibility guidelines, including accessible slide design and providing materials in requested formats. HubSpot may provide captioning or transcripts for recordings and may request your cooperation to ensure accessibility.
Code of Conduct and Safe Environment: You agree to adhere to any Event Code of Conduct, which prohibits harassment, discrimination, and disruptive behavior. HubSpot may remove, reschedule, or cancel a session and may take appropriate action for violations.
Logistics; Changes; Cancellations: If selected, you agree to meet deadlines for final titles, abstracts, slides, and media and to attend rehearsals or tech checks as requested. HubSpot may modify the Event program, format, timing, or venue, including pivoting to virtual or hybrid formats. If you must cancel or substitute a speaker, you will notify HubSpot as soon as possible and propose a qualified substitute for HubSpot’s approval. HubSpot may cancel or reschedule a session at any time. Force majeure events may result in changes without liability, provided HubSpot uses commercially reasonable efforts to mitigate impacts.
Travel, Visas, and Expenses: Unless otherwise agreed in writing, you are responsible for arranging and funding your travel, accommodations, insurance, and visas. If HubSpot agrees to reimburse expenses or pay an honorarium, those terms will be set out separately and may require pre‑approval, itemized receipts, adherence to HubSpot’s travel policy, and completion of tax forms. You acknowledge that payments may be subject to withholding and reporting in accordance with applicable tax laws.
Warranties and Representations: You represent and warrant that: (a) your Submission and Speaker Materials are original to you or you have obtained all necessary rights and permissions; (b) your content does not infringe or violate any copyright, trademark, trade secret, privacy, publicity, or other rights; (c) your content does not contain unlawful, defamatory, or obscene material; (d) all factual statements are accurate and not misleading; (e) you will comply with these Terms and applicable laws; and (f) you have the authority to grant the rights and licenses set forth herein.
Indemnification: You agree to defend, indemnify, and hold harmless HubSpot and its affiliates, officers, directors, employees, agents, contractors, sponsors, and venue partners from and against any claims, damages, liabilities, costs, and expenses (including reasonable attorneys’ fees) arising out of or related to (i) your Submission or Speaker Materials; (ii) your breach of these Terms or violation of law; or (iii) allegations that your content infringes or violates third‑party rights.
Disclaimers; Limitation of Liability: HubSpot makes no guarantees regarding selection, scheduling, or outcomes related to the Event. To the maximum extent permitted by law, HubSpot disclaims all warranties, express or implied, relating to Submissions and Event. To the maximum extent permitted by law, in no event will HubSpot be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, goodwill, or data, even if advised of the possibility. HubSpot’s aggregate liability for any claims arising out of or relating to these Terms will not exceed one hundred U.S. dollars (US$100).
Governing Law; Venue These Terms are governed by the laws of Massachusetts, without regard to conflict‑of‑laws rules. The parties consent to the exclusive jurisdiction and venue of the courts located in Massachusetts, and waive any objection to such jurisdiction and venue, except that HubSpot may seek injunctive or equitable relief in any court of competent jurisdiction.
Miscellaneous: If any provision of these Terms is held invalid or unenforceable, the remaining provisions will remain in full force and effect. No waiver of any provision will be effective unless in writing and signed by HubSpot. These Terms, together with any written speaker release or agreement specifically referencing these Terms, the Event Privacy Notice, and the Event Code of Conduct, constitute the entire agreement regarding Submissions and supersede any prior or contemporaneous communications on the subject. HubSpot may update these Terms from time to time; the version in effect at the time of submission will govern that Submission, and if you are selected, the version in effect at the time of your acceptance will govern your participation unless otherwise agreed in writing.
Minors: If a proposed speaker is a minor, participation is subject to additional requirements and consents from a parent or legal guardian, and HubSpot may impose additional protections and limitations. Please contact HubSpot before submitting a minor’s proposal.
